Agency operations guide
Give every client profile a name, owner, and lifecycle.
A consistent profile system reduces accidental crossover and makes handoffs easier to audit as an agency adds clients, channels, operators, and proxies.
What you will accomplish
Before you start
- A current list of active clients, channels, and markets
- Agreement on the naming fields the team will use
- Workspace access to create groups and tags
Step-by-step
Choose one naming pattern
Choose fields operators can scan without opening the profile. Keep the sequence stable across teams and document the allowed status values.
CLIENT · CHANNEL · MARKET · ACCOUNT · OWNER · STATUSName a sample of profiles
Apply the pattern to a few real profiles, for example Acme · Social · US · Brand A · Dana · Active, or Northstar · Outreach · UK · Research 02 · Lee · Review.
Group by client, tag by work
Use groups for durable client or portfolio boundaries. Use tags for workflow state, market, channel, proxy type, review date, or temporary assignments.
Record ownership and handoff
One operator owns the active session. Close the browser, synchronize the current version, and record the next owner before another operator opens it.
Offboard completely
Remove workspace access, revoke devices when needed, export required client records through the approved process, then archive or delete the profile according to the engagement policy.
The AliasMode workflow
Create the profile with the naming pattern
Name the new AliasMode profile using the agreed CLIENT · CHANNEL · MARKET · ACCOUNT · OWNER · STATUS pattern.
Assign group and tags
Add the profile to its client group and apply tags for channel, market, and review date.
Hand off through Cloud
Use Cloud sync so the next operator downloads the current profile version instead of sharing a desktop session.
Verify it worked
- A sample of profile names follows the agreed pattern without exceptions.
- Every active profile has one recorded owner and group.
- Offboarded profiles no longer appear in active workspace access.
Cautions
- Skipping the handoff record step makes it hard to trace who used a shared client account last.
